Implementation Training

Training is accomplished in several formats. Your implementation team has been trained using a variety of online courses and learning paths. We also offer Remote training courses as well as a day of On-Site Training, where TM sends a professional trainer to your site to spend time with your staff teaching them how to use MinistryPlatform, the Portal, Check-In, and the BMT. These are group training sessions where you learn how the tools function, not individual training teaching a person how to perform their job using MinistryPlatform. That one-on-one type of training would be considered consulting, and would be separate from the Implementation Project.

Training Classes – Remote and On-site Training classes are listed below, along with the appropriate audience and necessary security roles. There are 10 Remote sessions and 5 On-Site sessions. Any swaps in the On-Site schedule must be approved by the Project Manager at the beginning of the project to make sure adequate preparations are made. On-Site Training is hands-on training, so expect to setup a training room for your staff to use for the On-Site Training day. The Remote sessions can be attended from your desk, so each person can use their own computer, or depending on your facility, you can gather staff in the training room and project the training on-screen while users follow along using their computers.

Lunch Breaks - So that no time is wasted, even the lunch break is valuable time for the Implementation Team and the Trainer to provide feedback on how the training is going and make any necessary tweaks. You may wish to pick the brain of the trainer, and that’s fine if time allows, however, these discussions should not be considered consulting sessions. The trainer can provide their personal opinions based on their own experience, but they cannot, and should not be asked to, give formal guidance on what your organization “should do” in a particular situation. Audience – The appropriate audience is specified on each class described below. The number of users noted in the SOW is a minimum number of people we would expect to have in the On-Site Training classes. Volunteers are always welcomed but schedules are not modified for the sake of including volunteers. It is expected that staff will view these classes as 'train the trainer' and then they will take the appropriate subset of the information and train their volunteers. Note that Remote sessions are limited to 150 attendees, so if you have more, plan to gather in a room, project the training on-screen, and allow users to follow along with their own computers.

NO VIDEO - We respectfully request that you NOT video On-Site Training. It is distracting to the instructor and is not helpful to others to watch the video after training is over. The video usually cannot pick-up all the necessary details of each discussion in the room and therefore would likely require more editing than you would want to do. Unless you have a setup where the camera is hidden from the trainer, and you capture the events on stage as well as the trainer’s screen, as well as the audio from their mic, and have someone with a roaming mic to cover the people in the class asking questions, and have post-production resources to put it all together, it is very much not worth the effort and is incredibly painful for people to sit through when they were not part of the original class.
 
We have a set number of topics we cover during On-Site Training, but our trainers are professionals and are given complete latitude for going over the topics in a way that works best for the people in the class, at that particular church, on that particular day. It’s *highly* interactive based on the people in the class and the questions they ask. So truly, no two classes are alike. There has been only one church (out of over 100) who managed to make it work for them – they have around 12 campuses and they had a highly sophisticated setup and a skilled editing team.
 
If an unforeseen situation arises where someone cannot attend, and you believe there is a need for them to experience the content of the training outside the On-Site Training classes, let your Project Manager know and we will work with you to provide access to On-Site Training Review online courses that are available upon request.
 
Approach to Training Volunteers

  1. (Recommended): Get them into a class when the TM Trainer is there and let them learn along with the staff
  2. (Most Recommended): Staff treats On-site Training as a train the trainer sessions. The staffers then take what we do, what’s available in the KB, and develop their own mini class (typically only 30 min), and train the others on ONLY what they need to know. (Our class will have more than they will need as volunteers). One of our churches actually did a video and e-mailed the link to their volunteers to watch at their own leisure. Between the video and the laminated cheat sheets kept at strategic points in the area, that was enough. CAUTION: Do *NOT* leave this until the Sunday morning of Go-Live Sunday. Training the volunteers in the 30 minutes before people show up to use the system for the first time church-wide is a BAD idea and has failed for every church that tried it.
  3. (OK, if your volunteers learn well on their own) Have them review the KB and any videos associated with the relevant articles. Note: this will only teach them about the *software*, not how “your church” uses the software (and we all know that every church uses it a little bit differently)

Description - Understand how Congregations, Ministries, and programs are defined and develop steps to update them during SSR week. Also think through the basics of security roles and other major pages like Groups, Accounting Compnaies and Statement headers.

Audience - ONLY Implementation team (those trained during weeks 1 – 4, aka - Project Manager and all SPoCs)

Description - The very essentials of what MinistryPlatform does and how to use it. Time is spent showing the mobile app as an alternative for pastors and staff on the go.

Audience - Receptionists, Leaders, Pastors, Ministry Staff

Security Role - MP Training-Session - Basic, Mobile Person Lookup

Title - What is Your Superpower? (Everyday Superheroes Getting Things Done!)

Description - Learn how to get data into the system and how to do some basic edits.

Audience - Ministry Assistants and Admins

Day - Tuesday of Week 6

Time - 11:00 - 11:50 am local time

Title - Can You Hear Me Now? (Communicating Through the Platform)

Description - Learn how to use the New Message tool, the text message tool and the task tool to communicate with your congregation and staff.

Audience - Communicators - anyone on staff or volunteer who would use MP to send an e-mail, send a text, or run a report to print labels to send a postcard or letter.

ON-SITE SESSION #4 (5 of 15)

Day - Tuesday of Week 6

Time - 1:00 - 1:50 pm local time

Title - Events, Groups and Check-In – Oh My! (Welcome to Oz - You are the Wizard – normal AND able to do great things!!)

Description - Understand how Events work and how Groups work with them to allow you to record attendance in a variety of environments. Check-in - is demonstrated as one of these options but not the focus of this session.

Audience - Event Managers (Anyone who is responsible for an event of any kind for any age of audience for any purpose for any ministry)

Security Role - MP Training-Session - Advanced, Check-In Administrator

 

ON-SITE SESSION #5 (6 of 15)

Day - Tuesday of Week 6

Time - 2:00 - 2:50 pm local time

Title - Show Me The Money! (Moving Donations through MinistryPlatform)

Description - Teaching the finance team members how to take donations from the offering on the weekend through the check scanner to the software into the database; running reports to verify all was entered correctly; and pointing them in the right direction to *finish up with your accounting system.
*NOTE: Trainers do not train on how to import or enter data into your accounting system, only how to get the information you need exported from MP.

Location: This course can be taught in the Finance area so that you do not have to move the check-scanner & BMT station that you set up during SSR. However, if more than 4 contributions people need to see the screen, then you might want to move the BMT station & check-scanner to the training room. 

Audience - Contributions Processors (the people involved in processing your weekend contributions)

REMOTE SESSION #2 (7 of 15)

Day - Wednesday of Week 6

Title - Be All You Can Be! (Preparing your troops for Check-in)

Description - Understand how to use Check-in; know the various settings, unattended verses attended, add and edit families, and the basics of classroom manager.

Audience - SPoCs and any Check-In Managers (people responsible for setting up the stations, manning them, guiding volunteers, etc.)

REMOTE SESSION #3 (8 of 15)

Day - Thursday of Week 6

Title - Building Bridges Events 2.0 (Setting Up & Managing the Online Component of Your Events)

Description - Understand how to create an Event Registration, including understanding the role of the Program, how to create a Product, Custom form and put it all together.

Audience - SPoCs and Event Managers (Anyone who is responsible for an event of any kind for any age of audience for any purpose for any ministry - and they want it to show on the church website for people to see and/or register and/or register and pay)

Title - There’s No Crying in Baseball (Prepping for the Big Leagues of Going Live)

Description - Ensuring you have a clear plan for setting up and testing your Events for Check-in, ensure the contributions team is ready for the weekend and that there is a plan for security role assignment.

Audience - Implementation team

REMOTE SESSION #5 (10 of 15)

Day - Thursday of Week 8

Time - TBD by Customer, Think Ministry Project Manager, and Think Ministry Trainer

Title - I Can See Clearly Now (Cleaning up your data)

Description - Understand the fix views throughout the system. Then go over all the data quality tools such as the combine contacts tool and the deceased person tool.

Audience - SPoCs and Data Quality Specialists

REMOTE SESSION #6 (11 of 15)

Title - Dollars, Dollars, Everywhere (Managing the Money Throughout the System)

Description - How to use the various tools specific to finances. Like the copy batch tool, assign envelopes. Also, discuss the way to manage the various corrections throughout MinistryPlatform.

Audience - SPoCs and Contributions Processors (those who process your contributions)

REMOTE SESSION #7 (12 of 15)

Title - Caring For The Flock (Leveraging MP to Support Your Shepherding Efforts)

Description - How to send opportunity response and milestone letters, using MP tasks to keep things moving forward, how to use the counseling and customer care areas of the software, managing groups, and other tools to do ministry.

Audience - SPoCs, Ministers/Pastors, and their Administrative Staff

Security Role - None (We do not assign roles to your users after go-live)

Description - How to manage an Event after registration has happened. What to do with default contacts, how to report on events and custom form information as well as the basics of facility management.

Description - Understanding how to track soft credit and non-cash donations as well as an in-depth review of some of the reporting capabilities.
