Giving Unit Summary

 
This read-only page was created with the goal of helping churches understand their giving units amidst the COVID-19 pandemic. We pray this enables our churches to better plan for their future and communicate with their Donors in an effective way as we navigate the current climate in which we find ourselves.

The Giving Unit Summary page is a Read Only Page which along with its accompanying Views can help you aggregate key data points about your Donors including an option for honing in on online giving around a custom, specific point in time and comparison window. 

Goal and Use

The purpose of this page is to enable targeted communications with Donors and, as a bonus, to extract data from MP via export for further analysis. For a deeper dive, watch the Giving Unit Summary webinar!

  • The information included is specifically to assist with getting the most targeted communication out possible.
  • Online Giving is carved out so you can tell if donors are giving in that manner yet.
  • Giving is aggregated to the Household so you can avoid making appeals to people to "begin giving online" who already do.
  • Similarly, soft credit is included as we do not want to make appeals to "begin giving online" to people who give through a third party that gives online.
  • Member Status, Participant Type, First HH Donation, Last HH Donation and many other fields can be used to create the right list of Donors with whom you are comfortable having a detailed conversation about giving.
  • Bonus: This information can shed light into how giving is changing at a Household level from this calendar year versus the last and from before services were cancelled and since.

Users can:

  • See how Donors have given year to date this year and last including the variance.
  • See how Donors have given year to date this year and last year specifically for online gifts.
  • See how Donors have given in the time frame prior to and after a specific date (such as the date when COVID-19 orders forced church to move services and classes online).
  • Run basic reports.
  • Send emails to the Head of Household.
  • Use basic tools such as Transfer Selection and Contact Log to help facilitate communication with sub-sets of donors. 
  • See all Donations associated with the Household via the Donations sub-page. 

Giving Unit Summary

Giving Units

A "Giving Unit" is very similar to household, however, it is called a Giving Unit to emphasize that some Giving Units are actually Companies or fake entities.

Eligibility

For a Giving Unit to be eligible to have a Giving Unit Summary record, they must have:

  • At least 1 Household Member with a Donor record
  • At least 1 Gift (Donation Distribution) in a finalized Batch dated in the current or prior year credited to that Donor
Important! Because the Giving Unit Summary is keying off of Households, Donors without a Household will not have their Donations included in this data set.
Soft Credit

Soft Credit Donations are included on the Soft Credit Donor's summary record and are not included in the original Donors summary record. For example, if Joe gave via his Joe's Junkyard business account with Joe as the Soft Credit Donor, Joe's Junkyard will not have a summary and all Donations from that business account will be accounted for in Joe’s summary record.

The Donor on whose statement that Donation would appear will only have a summary record if they have other donations where soft credit was not applied.

Fields
  • Household ID: Identifies the Household associated with this Giving Unit. 
  • Household Name*: A friendly name for this Household. Generally the last name of the Head of Household. 
  • Primary Individuals: Household Members who represent this Household. Generally the Heads of Household.  
  • Giving Unit Type*: Indicates whether this Giving Unit is associated with a Household or Company. 
  • Giving Notes*: Informational field regarding Gift inclusion. 
  • Giving YTD*: Sum of Gifts (Donation Distributions) from the beginning of the year to the current date.
  • Giving YTD Last Year*: Sum of Gifts (Donation Distributions) from the beginning of the previous year to the current date in the previous year. Note: Current date is calculated as the number of days which have passed in a calendar year. Thus, on leap years a variance occurs after February 28th. For example, in a typical calendar year the 100th day is April 10 while on a leap year the 100th day is April 9. 
  • Giving Variance Last YTD: Displays the difference between the current and previous years up to the current date. 
  • Giving Last Year*: Sum of all Gifts (Donation Distributions) given in the previous year.
  • Online Giving Notes*: Informational field regarding online Gifts. 
  • Online Giving YTD*: Sum of Gifts (Donation Distributions) from the beginning of the year to the current date where "Is Online" is set to true for the identified Payment Type. 
  • Online Giving YTD Last Year*: Sum of Gifts (Donation Distributions) from the beginning of the previous year to the current date in the previous year where "Is Online" is set to true for the identified Payment Type.
  • Online Giving Variance Last YTD: Displays the difference between the current and previous years up to the current date where "Is Online" is set to true for the identified Payment Type.
  • Online Giving Last Year*: Sum of all Gifts (Donation Distributions) given in the previous year where "Is Online" is set to true for the identified Payment Type.
  • Gifts YTD*: Count of Gifts (Donation Distributions) from the beginning of the year to the current date. 
  • Gifts YTD Last Year*: Count of Gifts (Donation Distributions) from the beginning of the previous year to the current date in the previous year.
  • Gifts Variance Last YTD: Displays the difference between the current and previous years up to the current date. 
  • Gifts Last Year*: Count of all Gifts (Donation Distributions) given in the previous year.
  • Online Gifts YTD*: Count of Gifts (Donation Distributions) from the beginning of the year to the current date where "Is Online" is set to true for the identified Payment Type. 
  • Online Gifts YTD Last Year*: Count of Gifts (Donation Distributions) from the beginning of the previous year to the current date in the previous year where "Is Online" is set to true for the identified Payment Type.
  • Online Gifts Variance Last YTD: Displays the difference between the current and previous years up to the current date where "Is Online" is set to true for the identified Payment Type.
  • Online Gifts Last Year*: Count of all Gifts (Donation Distributions) given in the previous year where "Is Online" is set to true for the identified Payment Type.
  • Giver Notes*: Informational field regarding Donors. 
  • Givers YTD*: Count of distinct Donors who have made a Gift from the beginning of the year to the current date. 
  • Givers Last Year*: Count of all distinct Donors who made a Gift in the previous year. 
  • Comparison Notes*: Informational field regarding Configuration Settings. 
  • Date Range Before: A period of time determined by "GivingUnitSummaryComparisonMonths" calculated prior to the date identified in "GivingUnitSummaryComparisonDate". 
  • Date Range After: A period of time determined by "GivingUnitSummaryComparisonMonths" calculated after the date identified in "GivingUnitSummaryComparisonDate". 
  • Giving Before*: Sum of Gifts (Donation Distributions) made during Date Range Before.
  • Giving After*: Sum of Gifts (Donation Distributions) made during Date Range After. 
  • Giving After Variance: Displays the difference between the Date Range Before and Date Range After time periods. 
  • Gifts Before*: Count of Gifts (Donation Distributions) made during Date Range Before. 
  • Gifts After*: Count of Gifts (Donation Distributions) made during Date Range After. 
  • Gifts After Variance: Displays the difference between the Date Range Before and Date Range After time periods.
  • Online Giving Before*: Sum of Gifts (Donation Distributions) made during Date Range Before where "Is Online" is set to true for the identified Payment Type.
  • Online Giving After*: Sum of Gifts (Donation Distributions) made during Date Range After where "Is Online" is set to true for the identified Payment Type.
  • Online Giving After Variance: Displays the difference between the Date Range Before and Date Range After time periods where "Is Online" is set to true for the identified Payment Type.
  • Online Gifts Before*: Count of Gifts (Donation Distributions) made during Date Range Before where "Is Online" is set to true for the identified Payment Type.
  • Online Gifts After*: Count of Gifts (Donation Distributions) made during Date Range After where "Is Online" is set to true for the identified Payment Type.
  • Online Gifts After Variance: Displays the difference between the Date Range Before and Date Range After time periods where "Is Online" is set to true for the identified Payment Type.
  • HH Member Notes*: Informational field regarding the singular Contact identified as the "First" Household Member. 
  • Last Name: The family name of the First Household Member. 
  • First Name: The given name of the First Household Member. 
  • Nickname: The preferred name of the First Household Member. 
  • Email Address: Email Address of the First Household Member. 
  • Mobile Phone: Mobile Phone of the First Household Member. 
  • Household Position: The relationship between First Household Member and their Household. 
  • Gender: Gender of the First Household Member. 
  • Contact Status*: Indicates the status of First Household Member with respect to the organization. 
  • Member Status: Indicates the status of First Household Member with respect to their membership in the organization. 
  • Participant Type: Reflects how First Household Member interacts with the organization. 
  • Age: Age of the First Household Member. Calculated if Date of Birth is known. 
  • Contact ID*: Identifies the Contact associated with First Household Member. 
  • Home Phone: Physical landline for this Household. 
  • Congregation ID: Identifies the Congregation associated with this Household. 
  • Congregation Name: The name of the Congregation associated with this Household. 
  • First HH Donation: The date of the first Donation made by any Member of this Household.
  • Last HH Donation: The date of the most recent Donation made by any Member of this Household.
  • Months Since Last HH Donation: Calculates the number of months since the most recent Donation made by any Member of this Household. 
  • Spouse Last Name: The family name of the Head of Household who is not First Household Member. 
  • Spouse First Name: The given name of the Head of Household who is not First Household Member. 
  • Spouse Nickname: The preferred name of the Head of Household who is not First Household Member. 
  • Spouse Email: Email Address of the Head of Household who is not First Household Member. 
  • Spouse Mobile: Mobile Phone of the Head of Household who is not First Household Member. 
  • Spouse HH Position: Household position indicating a Head of Household. 
  • Spouse Gender: Gender of the Head of Household who is not First Household Member. 
  • Spouse Contact Status: Indicates the status of the Head of Household who is not First Household Member with respect to the organization. 
  • Spouse Member Status: Indicates the status of the Head of Household who is not First Household Member with respect to their membership in the organization. 
  • Spouse Participant Type: Reflects how the Head of Household who is not First Household Member interacts with the organization. 
  • Spouse Age: Age of the Head of Household who is not First Household Member. Calculated if Date of Birth is known. 

Customization

The Giving Unit Summary page can be customized for you church based on Configuration Settings and Payment Types.

Configuration Settings

Review and if needed adjust the date and months for comparison and the included Statement Headers. 

  1. From the Platform, go to Administration > Configuration Settings.
  2. Open the desired Configuration Setting (see below).
  3. Click Edit.
  4. Set the appropriate value (see below).
  5. Click Save.

Configuration Settings include:

  • SERVICES, GivingUnitSummaryComparisonDate // Date the two Comparison month ranges will compare against. By default it is set to 03/1/2020. Ensure this is a date in valid date format (mm/dd/yyyy)
  • SERVICES, GivingUnitSummaryComparisonMonths // How many months will be in scope for the period prior to and after the Comparison Date
  • SERVICES, GivingUnitSummaryStatementHeader // Set to the Statement Header ID (not the Statement Header sort number) of the Statement Header you want in scope. Set to “0” to include all. Copy configuration value if you want to include multiple Statement Headers. 
Payment Types

Review and if needed adjust your Payment Types to identify which are from online means.

  1. From the Platform, go to System Lookup > Payment Types.
  2. Open the desired Payment Type.
  3. Click Edit.
  4. Set  “Is Online” = True (e.g. Credit Card, ACH).
  5. Click Save.

Suggested Use

Each church can leverage the Giving Unit Summary page however they see fit. Some tips and ideas to get started include:

  • Reach out to Donors who have not yet donated online.
    • Use a Planned Contact or the Selected Call List report to connect with them via a phone call.
    • Mail a pre-addressed envelopes to Donors who have not yet given online and may be more hesitant to do so. 
    • Mail a letter/postcard with instructions on how to give online since many of these check and cash only donors may not have an email address in your system to reach another way.
  • Reach out to new online donors.
    • Send them a "thank you" text, email, or postcard/note.
    • Be sure to include a story of how your church is reaching its community and fulfilling its mission in this time.
  • Reach out to Donors who haven’t given since the Comparison Date. 
    • Give them a phone call to check in and pray with them; they may be struggling financially.
    • Send them a text, email, or postcard/note letting them know you are praying for them.
Communications

Communicating from the Giving Unit Summary page is similar to other Platform pages. The Contact in scope is the "First Household Member". When both Heads of Household are identified and both Genders are known, this is the male Head of Household. Otherwise it is:

  • If both Heads of Household identified but only 1 known Gender, the known Gender is First Household Member
  • If both Genders known but only 1 identified as Head of Household, the Head of Household is First Household Member
  • If neither Head of Household identified and no Genders known, the lowest Contact ID is First Household Member
Professional Services

Other ways a church wishes to undertake leveraging this tool is up to them. However, any assistance we provide will be a Professional Service.  We will accept requests to make this better, but they must fit within the primary goal of the page as detailed above.

Professional Services can also assist with reconciling this data set against other reports and outputs and researching anomalies with this data set. (Note: If such research uncovers an actual error, we will not charge for the PS team's time.)
