Assign a Task

 

The Assign a Task step type is one of the simplest of the five types.

An Assign a Task step means that a task is created for the user defined in the Task Owner section of the Step record.

For example, we want someone to call a church attendee who asks about joining small groups. We want this staff person to get an email indicating they need to go into MinistryPlatform to perform this action. The first step should send the team member an email and the second step should be the Assign a Task step.

All Tasks must be assigned to a User record.

  • Specific User – If the same Contact should always be assigned the task, select them in this field. Make sure they have an email address on their Contact record. 
  • Lookup User Field – If the Contact is to be looked up dynamically, use the Related Table Field Name Lookup convention to find the Contact_ID record. This must be configured properly. It may be on the record itself or one or two tables removed. Generally, the value in this field ends in Contact_ID. You must also ensure the Contact records used by the lookup have valid email addresses. See Dynamic Lookups.
ImportantIf there is a value in the Lookup User Field, the email will be sent to that Contact, even if you also add a Contact in the Specific User field. So if you want to send an email a specific contact, make sure the Lookup User Field is empty.
