Basics
- The tool can be launched from an open Batch record (making the open Batch the selected
record) or from a selection of Batch records.
- If a Batch already has a Deposit associated with it, you'll receive a message and be
unable to move forward until that's corrected outside the tool.
- If any of the following are true for any Batch in the selection, you'll be notified that the Batch is out of balance. You'll need to correct the issue outside of the tool before moving forward.
- Batch does not contain any Donations
- Batch amount does not match the sum of its Donation amounts
- A Donation in the Batch does not contain any Donation Distributions
- A Donation in the Batch does not match the sum of its Donation Distribution amounts
- You can either:
- Create one Deposit for the selection. This will result in the creation of one Deposit, no matter how many Batches are selected. This is the default; OR
- Create one Deposit per Batch. This will result in the creation of multiple Deposits if more than one Batch is selected.
- If you create a large deposit, the Create Deposit button will be disabled after it's clicked so you know the deposit is in process.
- After a deposit is created, you'll get a success message and will be able to close the Create Deposit tool.
- The Tool will clear out your Current/Unsaved Selection automatically.
- Deposit Name: The name assigned to the Deposit. You get 75 characters, so use them wisely ;)
- Deposit Date: The date assigned to the Deposit the tool will create.
- One Deposit Per Batch:
- Off (Default): the Platform will create one Deposit containing all of the selected Batches. This is the default.
- Activated: the Platform will place each Batch into its own Deposit. Multiple Deposits will be created if more than one Batch is selected.
Initial Setup
The Create Deposit tool is available on the Batches page for authenticated users who have a Security Role permitting access to the tool.
Using the Create Deposit Tool
- Launch the tool by either:
- Batches > Select desired record(s) > Tools > Create Deposit Tool; OR
- Going to the Batches page > Open desired Batch record > Tools > Create Deposit Tool
