Pledge Adjustments

Sometimes, life happens and an individual is unable to fulfill their pledge. If needed, you can adjust or write off the remaining amount and reduce the total pledge amount. Don't worry, you'll be able to track the original pledge amount along with any changes.

For example, let's say David pledged $600 to your annual appeal. Later in the year, tragedy strikes David's family, and he's now only able to give $400 to the campaign. To track this change, you can add a pledge adjustment.

Adjust a Pledge

  1. Go to Contributions > Pledge Adjustments.
  2. Click New Pledge Adjustment.
  3. Select the Pledge for the affected campaign.
  4. For the Pledge Adjustment Type, select Write-Off.
A write-off means you are manually reducing the amount of the pledge at the pledger's request. There is also an option for Auto Increase, but this is only to be used by the routine that detects when the donation amount exceeds the pledge amount and increases the pledge amount to match the total donations to the campaign.
  5. Select the Adjustment Date, which is the date of the change.
  6. Enter the Adjustment Amount as a negative number to indicate that the pledge amount is decreasing. For example, if David pledged $600 but is now only able to give $400, the Adjustment Amount would be -200.
  7. Enter the Prior Amount, which is the original amount of the pledge before this adjustment.
  8. Enter any additional notes about this adjustment.
  9. Click Save.
